What is the problem your customer has right now? Mentioning it by name in the email is another way to deepen the connection. The customer feels you’re paying attention because you know their name and issue.

You can also streamline your assistance when you’re both on the same page.

Show empathy

While your tone should always be professional and match your corporate brand, you can empathize with the customer’s plight. For example, saying, “We’re sorry that happened” or “We apologize for the delay” is perfectly appropriate.

The customer will feel like you genuinely care about them. They may soften up if they were in a surly mood before because of their issue.
